📸 E-Commerce Operations Assistant (On-site, Books) (US)

Folio Vault is a fast-growing e-commerce company specializing in collectible Folio Society books. We sell through eBay and directly to collectors through social media.
We have been selling in the UK since 2019, building a strong reputation for quality and customer service and earning Top Rated Seller status on eBay.
In October 2025, we expanded to North America and achieved Top Rated Seller status on eBay.com within our first three months.
We are a process-led company that uses software, data, templates, and clear workflows to make work simpler, faster, and more consistent.

The Role

We’re looking for a reliable, detail-focused person to join our Cullman office team. The role involves structured, hands-on tasks where accuracy and consistency matter. You’ll work day-to-day alongside one other person, handling e-commerce orders and inventory with care. We bring several years of experience from our established UK business.

Key responsibilities

Process orders using our in-house CRM system and maintain accurate records
Pack and ship customer orders carefully and accurately
Arrange USPS and UPS shipments and courier collections (including occasional drop-offs)
Prepare books for sale and create eBay listings using Folio Vault templates and internal product data
Occasionally assist with simple smartphone photos when needed (not a main responsibility)

Growth Opportunity

This role is ideal for someone who wants to grow with a small business. Over time, depending on interest and performance, there may be opportunities to take on additional responsibilities in areas such as sales, buying, and social media.
This role is not a warehouse shift position. It involves daily computer-based work, including CRM order processing, eBay listings, and monitoring customer messages via email and social media, alongside careful hands-on work.

The Role

We’re looking for a Photography & E-Commerce Assistant who enjoys following clear, repeatable steps and takes pride in precision.

This is a hands-on, structured role involving photographing and listing collectible books for sale on eBay. You’ll use a smartphone and photo box (no DSLR or editing software) to capture clean, consistent images following our in-house style.

If you’re someone who enjoys process, organisation, and routine tasks done to a high standard, this is the perfect fit. If you’re a creative photographer, designer, or artist looking for an expressive or editing-based role, this likely won’t be a match.

You’ll also provide occasional support with order processing, packing, and book care.

Responsibilities

Photograph books to Folio Vault standards, capturing key details and condition accurately.
Create accurate and consistent eBay listings with correct titles, pricing, and descriptions.
Ensure images and listings maintain our consistent brand quality and tone.
Maintain a steady pace and attention to detail across repetitive tasks.
Assist with book care tasks, including basic cleaning and grading when required.
Support the team with packing and order processing during busy periods.

⚙️ Data Engineer

Who We Are

We are now expanding internationally, with a new office opening in North America as part of our continued growth.

The Role

We’re looking for a Data Engineer to help us enhance and expand our internal systems.

You’ll work on integrations between our CRM, e-commerce, and communication platforms, streamlining how we handle listings, messages, and orders.

The role combines hands-on development with system design and documentation, working closely with the company’s director and occasionally coordinating with other contractors when needed.

Responsibilities

Social Media Integration:
Connect and centralise communication from social and messaging platforms (e.g. Instagram, Facebook, WhatsApp) so all interactions are stored and viewable within our CRM.

E-Commerce Expansion:
Set up and manage Shopify as a direct-to-consumer sales platform. Identify a software for a two-way synchronisation of listings and stock between Shopify and eBay, ensuring sold items are automatically ended and new listings published across both platforms.

Order Processing Automation:
Automate the first stage of order processing with API so that new orders from eBay and Shopify are automatically imported with full order details and ready for the team to pick, pack, and post.

Infrastructure Improvement:
Review and propose updates to our IT and data infrastructure, including the possible introduction of virtual machines or cloud-based solutions for scalability and security.
AI & Automation Enhancement:
Identify opportunities to apply AI-driven tools for process automation, data analysis, and customer communication.
Documentation & Collaboration:
Maintain clear and detailed technical documentation for all projects and work closely with the company’s director to plan, review, and deploy improvements.
