📸 E-Commerce Office Coordinator (On-site, Books) (US)
Who We Are
Folio Vault is a growing e-commerce company specializing in collectible Folio Society books. We sell through eBay and directly to collectors via social media and private inquiries.
We have operated successfully in the UK since 2019, building a strong reputation for quality, consistency, and customer service, earning Top Rated Seller status. In late 2025, we expanded to North America and quickly achieved Top Rated Seller status on eBay.com.
We are a process-led company. Our operations rely on structured workflows, internal systems, templates, and clearly defined standards to maintain accuracy and professionalism.
The Role
We are seeking a reliable, detail-focused professional to take ownership of daily operations in our Cullman office, working in close coordination with our established UK team.
This is not a warehouse role. It combines careful physical handling of high-value books with responsibility for coordinating and maintaining organized office operations.
The Coordinator will oversee the full daily workflow while remaining directly involved in buying, sales and post-sale processes. The role is hands-on and operational, while also requiring maturity, structure, and accountability.
What This Role Involves
Processing customer orders using our in-house CRM system
Managing customer communication, including pre-sale inquiries and after-sales support
Ensuring professional packing and shipping standards are maintained
Overseeing listing quality, intake processes, grading standards, and operational consistency
Providing structure and day-to-day oversight across operational activities
Supporting book sourcing activities, including seller communication and negotiation
What We’re Looking For
We are looking for someone with experience in office administration, operations coordination, retail, sales support, or other structured environments where accuracy and accountability matter.
Strong organizational skills
Comfort using software systems and learning new tools
Ability to maintain structure and uphold standards
Calm, responsible decision-making
Clear written and verbal communication
Confidence working directly with senior leadership in the UK
E-commerce experience is helpful but not required.
Growth & Benefits
After a successful introductory period and as the US operation expands, we intend to introduce additional benefits for this Coordinator role, including eligibility for performance-based bonus, healthcare options, and flexible or partial remote arrangements.
